Mind Mirror is your private second brain. This policy explains what we collect, how your content is processed, and the choices you have.

1. Who we are

Mind Mirror ("the app", "we", "us") is a personal note-taking and memory app that lets you capture thoughts, photos, voice notes, and files, then automatically organizes and connects them so you can find and reflect on them later. The app is offered free of charge.

2. Information we collect

How we collect it. Everything above is collected directly from you inside the app — you type or dictate a note, pick a photo or file, share something into Mind Mirror from another app, or ask a question. We do not collect anything in the background, we do not buy or receive data about you from third parties, and we do not read anything on your device that you have not chosen to save. The push token is issued by Apple/Firebase only if you enable notifications.

We do not collect analytics, advertising identifiers, location tracking, or any cross-app/cross-site tracking data. The app contains no third-party advertising or analytics SDKs.

4. AI processing of your content

To power organization, summaries, semantic search, and reading of image and document content, your saved content is processed by Microsoft Azure OpenAI Service, operating under Microsoft's enterprise data-protection terms. This processing exists solely to deliver the app's features. Under Azure OpenAI's terms, your content is not used to train the underlying AI models.

We ask first, and you can change your mind. The first time you open Mind Mirror, the app shows you what would be sent and who it goes to, and asks for your permission before anything is sent. Nothing is sent to Microsoft Azure OpenAI Service unless you turn AI processing on. You can turn it off again at any time under Settings → Your data & trust → AI processing; the same screen shows the full disclosure whenever you want to re-read it. Our servers check your choice on every request, so switching it off stops the transfer rather than merely hiding the feature.

With AI processing off, Mind Mirror still saves, stores, keyword-searches and exports everything you capture, and none of it is sent to an AI service. Automatic naming and sorting, Ask, insights and synthesis stay switched off until you turn it on. Content you never save is never processed.

5. Voice input

When you dictate a note or speak to the Ask feature, speech-to-text transcription is performed on your device by the operating system. The audio of a spoken command is not sent to us for transcription. Voice memos you explicitly choose to save are stored as your content (see Section 2).

6. Web search

If you ask a question that requires current information from the web, your query text is sent to the Brave Search API to retrieve results. This happens only when you use that feature. Your saved memories are not sent to Brave.

We rely on a small set of trusted providers to operate the app. They process data only to provide their service to us:

Each of these providers is bound by a written data-processing agreement that requires them to protect your data to a standard at least equal to this policy: to process it only on our instructions and only to provide their service, not to use it for their own purposes or to train their own models, to keep it confidential and encrypted, and to delete it on our instruction. We do not sell your personal information, and we do not share it with advertisers.

11. Children's privacy

Mind Mirror is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. When we make material changes, we will update the date above and, where appropriate, notify you in the app. Your continued use of Mind Mirror after an update means you accept the revised policy.
